User Agreement

This agreement is modified on February 3rd, 2025.

This user agreement contains the terms and conditions that mutually define the legal rights, obligations, and remedies of using our services or Website. You understand that by using the virtualspodium.com you are bound by all agreements herein.

VirtualsPodium is available to everyone who has the capacity to contract.

Key Terms

Client: Refers to any individual, organization, or group that engages with VirtualsPodium's website for the virtual assistant services.
Virtual Assistant: skilled professional who provides remote support to clients, helping them manage tasks, achieve goals, and enhance productivity.
Account: Refers to a personalized profile or access point that allows clients to interact with the platform's services, manage their preferences, and track their activities.
Orders: Refers to a specific remote task, project, or service offered by a Virtual Assistant or a request by a client.

Terms of Engagement

Account Eligibility

By registering an account at VirtualsPodium, represents that-:

  • Accounts must be used for professional, educational, or motivational purposes only.
  • Must engage with Virtuals Podium services in alignment with its mission of fostering professional growth, continuous learning, and collaboration.
  • You comply with all licensing, registration, or other legal requirements relevant to business or the services you intend to access.
  • Adhere to applicable local, state, federal, and international laws, regulations, and conventions when using the platform.
  • Both the Client, and the Virtual Assistant MUST have capacity to contract.
  • All interactions MUST be ethical, and Professional.

Account Registration

Clients and Virtual Assistants MUST register an account to acquire full access of services, and the registration is subject to our approval.

Registration Process

Step 1: Choose Account Type

Users must select the appropriate account type during registration:

  • Client Account – For individuals or businesses seeking services.
  • Virtual Assistant Account – For professionals offering services.
  • Assistant Admin Account – For platform support staff (admin-approved).
  • Admin Account – Reserved for platform management (system-controlled).
Step 2: Provide Required Information

Users must complete a registration form with the following details:

For Clients:
  • Full Name / Business Name
  • Email Address & Phone Number
  • Business Purpose (if applicable)
  • Password Creation
For Virtual Assistants:
  • Full Name
  • Email Address & Phone Number
  • Area of Expertise (e.g., remote tasks, tutoring, motivation)
  • Portfolio, Resume, or Work Samples (if required)
  • Password Creation
For Assistant Admins:
  • Admin Invitation Code (if applicable)
  • Full Name & Contact Information
  • Role & Responsibilities Agreement
Step 3: Verify Identity

Users must complete email or phone verification to activate their accounts. Additional verification steps, such as ID confirmation, may be required for Virtual Assistants to maintain credibility.

Step 4: Agree to Terms & Policies

Users must accept Virtuals Podium's Terms of Service, Privacy Policy, and Code of Conduct before finalizing registration.

Step 5: Account Activation

Once verification is completed, the user gains access to their dashboard to set up their profile, manage services, and start interacting with the platform.

Account Profile

When you sign up at VirtualsPodium, you MUST Provide accurate personal information, and update your account if your information changes.

Personal information is ONLY available to the administration, and used for administration purposes. Virtual Assistants can only view the last name or nick name of the client.

Account Types

1. Admin Account

Responsible for overall platform management, policy enforcement, and strategic decision-making.

Key Responsibilities & Permissions:

  • User & Role Management - Create, modify, or suspend Client and Virtual Assistant accounts. Appoint or remove Assistant Admins.
  • Service Management - Oversee service offerings, ensuring quality control and alignment with Virtuals Podium's mission. Approve or review Virtual Assistant orders and educational services.
  • Financial & Billing Control - Manage platform-wide transactions, service fees, and payment processing. Monitor financial reports and handle client disputes related to payments.
  • Policy & Compliance Enforcement - Ensure users adhere to terms of service and ethical standards. Implement security measures to protect user data and system integrity.
  • Platform Optimization & Support Oversight - Implement updates, resolve technical issues, and enhance user experience. Supervise Assistant Admins and support teams.
2. Assistant Admin Account

Purpose: Assistant Admins support the Admin in daily operations, user management, and platform moderation. They have restricted administrative privileges compared to the full Admin role.

Key Responsibilities & Permissions:

  • User Support & Management - Assist in handling client and Virtual Assistant accounts. Review and verify new Virtual Assistant applications.
  • Task Supervision & Quality Control - Monitor Virtual Assistants' performance and ensure service quality. Address concerns from clients and resolve minor disputes.
  • Moderation & Compliance - Enforce guidelines to maintain professionalism on the platform. Report suspicious or non-compliant activities to the Admin.
  • Limited Financial Permissions - Review transactions but cannot alter payment settings or access full financial records.
3. Client Account

Purpose: The Client Account is designed for individuals or businesses seeking remote professional tasks, educational assistance, or motivational services from Virtuals Podium.

Key Features & Capabilities:

  • Service Booking & Management - Request and manage remote tasks, educational assistance, or motivational sessions. Search for available Virtual Assistants based on expertise.
  • Communication & Collaboration - Directly interact with Virtual Assistants through secure messaging and video calls. Share documents, instructions, and feedback.
  • Payment & Billing Management - Track invoices, make payments, and manage subscription plans. Dispute resolution and refund requests.
  • Customization & Preferences - Personalize account settings, service preferences, and notifications. View service history and progress reports.
4. Virtual Assistant Account

Purpose: Virtual Assistants (VAs) provide services to clients, offering professional remote tasks, educational support, and private motivational sessions.

Key Features & Capabilities:

  • Service Offering & Order Management - Create and list services (orders) tailored to client needs. Set availability, and service details.
  • Client Interaction & Task Execution - Receive and respond to client inquiries. Deliver requested services within agreed timelines.
  • Performance & Rating Management - Receive feedback and ratings from clients. Maintain professionalism and adhere to platform guidelines.

Prohibitions at Virtuals Podium

To maintain a professional, ethical, and secure environment, Virtuals Podium enforces strict prohibitions on certain activities and behaviors. Violations of these rules may result in account suspension, termination, or legal action.

1. Prohibited Activities

1.1. Misuse of the Platform
  • 🚫 Personal or Consumer Use – Virtuals Podium is for business, educational, and professional purposes only.
  • 🚫 Multiple or Fake Accounts – Creating multiple accounts without authorization or using fraudulent identities is strictly forbidden.
  • 🚫 Account Sharing or Transfer – Users cannot share or sell their accounts to others.
1.2. Fraud, Scams, & Misrepresentation
  • 🚫 Impersonation – Pretending to be another person, business, or entity.
  • 🚫 False Credentials – Providing fake qualifications, reviews, or work samples.
  • 🚫 Scams & Phishing – Any attempt to deceive clients or Virtual Assistants for financial gain.
1.3. Unethical & Illegal Activities
  • 🚫 Hate Speech & Harassment – Any form of discrimination, bullying, or threats is not tolerated.
  • 🚫 Pornographic, Violent, or Offensive Content – Uploading or engaging in explicit or harmful content is strictly forbidden.
  • 🚫 Illegal Transactions – Virtuals Podium does not support money laundering, tax evasion, or fraudulent payments.
1.4. Data Privacy & Security Violations
  • 🚫 Unauthorized Data Collection – Harvesting or misusing users' personal data.
  • 🚫 Hacking & System Abuse – Attempting to access or manipulate Virtuals Podium's systems.
  • 🚫 Spamming & Unsolicited Messages – Sending excessive or irrelevant promotional content.
1.5. Service Violations & Unfair Practices
  • 🚫 Plagiarism & Copyright Infringement – Delivering work that violates intellectual property laws.
  • 🚫 Unfulfilled Agreements – Failing to complete services without valid justification.
  • 🚫 Manipulating Ratings & Reviews – Using fake reviews to boost or damage reputations.
1.6. Contact & Transaction Restrictions
  • 🚫 Direct Contact Exchange – Clients and Virtual Assistants are not allowed to exchange personal contact information, including phone numbers, emails, or social media handles. All communication must remain within the Virtuals Podium platform for security and accountability.
  • 🚫 External Transactions – Any payment, agreement, or service transaction must be conducted through Virtuals Podium. The platform is not liable for any transactions made outside the website.

2. Consequences of Violations

  • Warning & Temporary Suspension – For minor infractions, users receive a warning or temporary restrictions.
  • Permanent Account Termination – Severe violations may lead to immediate ban and loss of access.
  • Legal Action – If violations break laws (e.g., fraud, data breaches), Virtuals Podium may pursue legal measures.

3. Reporting Violations

If you encounter prohibited activities, report them to Virtuals Podium Support for review and necessary action.
